Privacy Policy

1. Who we are

QARIN (“we”, “us”, “our”) provides AI assistants for ecommerce brands and digital businesses. Our product learns from your catalog, content and policies to answer questions, recommend products and automate follow-ups.

This Privacy Policy explains how we handle personal data when you:

  • Visit our website or marketing pages;
  • Interact with a QARIN-powered assistant embedded on a site; or
  • Contact us, book a demo or become a customer.

2. Data we collect

2.1 Information you provide to us

  • Contact details (name, email, company, role) when you fill forms or book a demo.
  • Messages you send us, including project briefs or support requests.
  • Content you share for onboarding (e.g. product feeds, help center articles, policies).

2.2 Data from your use of QARIN

  • Chat transcripts and events from QARIN sessions, where enabled.
  • Usage analytics such as timestamps, browser type, device type and pages viewed.
  • Conversion and attribution events (e.g. clicks, add-to-cart, orders) where integrated.

2.3 Data from integrations

To power recommendations and automations, you may connect platforms such as ecommerce systems and marketing tools. Depending on configuration, this can include:

  • Product catalog and inventory data;
  • Order and revenue events (usually in aggregated or pseudonymised form);
  • Existing FAQs, macros or help center content.

3. How we use your data

  • To provide, configure and maintain your QARIN assistants.
  • To train and tune your instance so it answers accurately using your content.
  • To monitor performance, improve our product and prevent abuse.
  • To send you product updates, onboarding guidance and support messages.
  • To comply with legal obligations and enforce our Terms of Service.

We do not sell your personal data, and we do not use your customers’ data to train generic models that benefit other customers.

4. Access to your website & integration

To integrate QARIN into your site or storefront, we usually need temporary access to your website code or admin environment. This can include:

  • Adding a JavaScript snippet or app to your theme or template;
  • Configuring webhooks, API keys or private apps;
  • Setting up events (e.g. add-to-cart, page view, checkout) for analytics and attribution.

We only access what is necessary to complete the integration and will not modify your site or data outside of the agreed scope.

5. Data storage & retention

By default, we keep operational data only for as long as it is needed to run QARIN for you, troubleshoot issues, and comply with applicable law.

  • Integration access: once your integration is complete, we do not continue using direct access to your website code or admin environment, except where you explicitly request ongoing management.
  • Customer conversations: chat logs may be retained for debugging, analytics and training of your instance. Retention periods can be configured on request.
  • Leads & contact data: we retain your contact data while we have a legitimate business reason (for example, you are a customer or have requested updates).

If you terminate your account, we will delete or irreversibly anonymise personal data within a reasonable timeframe, subject to any legal obligations to retain certain records.

6. Sharing & service providers

We may share data with trusted third parties who help us provide QARIN, such as:

  • Cloud hosting and infrastructure providers;
  • Payment processors (for example, Stripe) for billing;
  • Email and notification providers;
  • Analytics and logging tools.

These providers process data on our instructions and are bound by confidentiality and data protection obligations. We may also disclose data where required by law, to protect our rights, or in connection with a merger or acquisition.

7. Security

We use reasonable technical and organisational measures to protect your data, including encryption in transit, access controls and monitoring. No system can be guaranteed 100% secure, but we work to minimise risk and respond promptly to issues.

8. Your rights

Depending on your location, you may have rights over your personal data, such as:

  • Accessing a copy of the data we hold about you;
  • Requesting corrections to inaccurate data;
  • Requesting deletion of certain data;
  • Objecting to or restricting certain processing; and
  • Withdrawing consent where processing is based on consent.

To exercise these rights, contact us using the details below. We may need to verify your identity before completing your request.

9. Cookies & tracking

We may use cookies and similar technologies to:

  • Remember preferences and improve your browsing experience;
  • Measure usage of our website and QARIN assistants;
  • Monitor the performance and reliability of the service.

You can usually control cookies through your browser settings. Disabling certain cookies may affect functionality.
